Timesheets
Collabase groups your time entries into monthly timesheet periods. Each period covers a single calendar month and moves through a review workflow before being finalized. Once a period is approved, the entries inside it become a permanent record. The timesheet panel is available on the right side of the Times view. It shows the current month’s period status, total logged hours, and submission controls.Period statuses
Submitting your timesheet

Complete all entries for the month
Log all your time entries before submitting. You cannot add or change entries once the period is submitted.

Open the Timesheet panel
On the Times page, open the Timesheet panel on the right side. It shows your total hours for the current period and the current status (DRAFT).

Review your total hours
Check that the total hours and entry breakdown look correct. Switch calendar views to review individual days if needed.

Click Submit for Approval
Click the Submit for Approval button in the Timesheet panel. A confirmation prompt appears.

Confirm submission
Click Confirm. The period status changes to SUBMITTED. All entries in the period are now locked.
Approving or rejecting a timesheet (Admins and Team Leads)
Pending timesheets appear in two places: the Pending Approvals gadget on the Home page, and the Timesheets section under Admin (for admins) or Team Timesheets panel (for team leads).1
Open a pending period
Go to the Home page and click a pending approval in the Pending Approvals gadget, or navigate to Admin → Time Tracking → Timesheets and select a period from the list.

Review the entries
The period detail view shows all entries for the month — dates, tasks, durations, billable status, and total hours. Scroll through the list to check for completeness and accuracy.

Approve or reject
Click Approve to finalize the period, or Reject to return it to the submitter for corrections.

Add a comment (optional on approve, recommended on reject)
When rejecting, add a comment explaining what needs to be corrected. The submitter will see this comment when the period returns to their view.

Confirm your decision
Click Confirm. The period status updates immediately. If approved, entries are permanently locked. If rejected, the period returns to DRAFT and the submitter is notified.
What happens after a rejection
When a period is rejected, the submitter receives a notification inside Collabase. The period returns to DRAFT status and entries become editable again.1
Read the rejection comment
Open the Timesheet panel on the Times page. The reviewer’s comment is shown alongside the REJECTED status.

Correct the entries
Add, edit, or delete entries as needed to address the reviewer’s feedback.

Re-submit for approval
Once corrections are complete, click Submit for Approval again. The period re-enters SUBMITTED status.
Team lead approvals
Team leads can approve and reject timesheets for members of their own team. They cannot approve timesheets for users in other teams or users not assigned to any team. The approval workflow for team leads is the same as for admins. Team leads see pending timesheets in the Pending Approvals gadget on the Home page, filtered to show only their team members’ submissions. Admins can approve timesheets for all users regardless of team assignment.Entry Date and period visibility
Each team member has an Entry Date set in their team membership settings. Periods earlier than the entry date are hidden from that user. This prevents users from seeing or submitting empty periods for months before they joined.If you cannot see a period you expect to find, ask your administrator to check your Entry Date in your team’s membership settings.
