Time Reports

The Reports section aggregates your time entries into drilldown summaries. You can slice data by date range, space, project, account, team, and user, then collapse or expand results level by level to see exactly where time is being spent. Navigate to Times → Reports in the sidebar to open the Reports view.

Drilldown hierarchy

Reports are structured as a collapsible tree. Each level rolls up the totals from all rows beneath it.

AccountTop-level grouping. All time entries assigned to each billing account.
SpaceWithin an account, time broken down by Collabase space.
ProjectWithin a space, time broken down by project.
TaskWithin a project, time broken down by individual task.
UserWithin a task, time broken down by who logged it.
Click the expand arrow next to any row to reveal the next level. Each row shows:
  • Total Hours — all time at that level, in hours and minutes.
  • Billable Hours — only the time marked as billable.
  • Billable % — what proportion of total hours is billable.
  • Entry Count — how many individual time entries make up the total.

Available filters

Use the filter panel on the left to narrow the results. Filters combine — selecting a space and a date range returns only entries that match both.

TeamMulti-select. Shows only entries logged by members of the selected teams.
UserMulti-select. Shows only entries logged by the selected users.
Billable OnlyToggle. When on, hides all non-billable entries and totals.
Non-admin users can only see their own time entries. The User filter has no effect for non-admins — results always reflect only the logged-in user’s entries. Admins see all users and can filter by any combination.

Running a report

Open the Reports view

Navigate to Times → Reports in the sidebar.

Set your filters

Choose a date range and any additional filters from the left panel. Results update automatically as you change filters.

Expand the drilldown

Click the arrow next to any Account row to see Spaces. Continue expanding to drill down to Tasks and Users.

Review totals

Each level shows hours, billable hours, billable percentage, and entry count. The top row shows the grand total across all visible entries.

Saving a report configuration

If you run the same report regularly, save the filter combination so you can reload it in one click.

Set your filters

Apply the date range, spaces, accounts, and any other filters you want to save.

Click Save Report

Click the Save Report button above the results panel.

Enter a name

Type a descriptive name for the report (for example, “Client A — Monthly Billable” or “Engineering Team — This Month”).

Confirm

Click Save. The saved configuration appears in the left panel under Saved Reports.

Running a saved report

Click any saved report name in the left panel. The filters load automatically and results update to match. You can adjust the filters after loading a saved report without overwriting the saved configuration — changes only take effect for the current view.

Editing and deleting saved reports

Find the saved report

Locate the report name in the Saved Reports section of the left panel.

Open the options menu

Click the ••• (three-dot) menu that appears when you hover over the report name.

Choose Edit or Delete

Select Edit to rename the report or update its saved filters. Select Delete to remove the configuration permanently. Deleting a saved report does not affect any time entry data.

Report metrics explained

MetricHow it is calculated
Total HoursSum of all entry durations at that level, regardless of billable status.
Billable HoursSum of durations for entries where Billable is on, weighted by Billable % (e.g. 60 min at 50% = 30 billable minutes).
Billable %Billable Hours ÷ Total Hours × 100, rounded to one decimal place.
Entry CountNumber of individual time log entries, not the number of tasks or users.
Billable Hours are calculated from the Billable % field on each entry, not just the Billable toggle. An entry marked billable at 75% contributes 75% of its duration to the Billable Hours total.
