Logging Time

The Times view is a calendar where you create and manage time entries. You can switch between day, week, and month views to see your logged hours, and entries are colour-coded to show whether they are billable. Navigate to Times using the sidebar. If you do not see it, ask your administrator to check that the Time Tracking module is enabled for your space.

Creating a time entry

Open the Times view

Click Times in the main sidebar. The calendar opens in week view by default.

Open the entry dialog

Click any empty time slot on the calendar to open the entry dialog pre-filled with that date and time, or click + Log Time in the top-right corner to open a blank dialog.

Fill in the entry details

Complete the fields as needed (see the field reference below). At minimum, enter a duration and a date.

Save the entry

Click Save. The entry appears on the calendar immediately. Billable entries display a green badge showing the billable percentage.

Entry fields

FieldDescription
DateThe date the work was performed. Defaults to today.
DurationHow long the work took. Accepts several formats — see the note below.
DescriptionOptional free-text note about what was done.
TaskLink the entry to a specific task. Start typing to search across all projects you have access to.
ProjectThe project this time belongs to. Auto-filled when you select a task, or select manually.
TeamAssociate the entry with a time tracking team for filtered reporting and approval routing.
AccountThe billing account (client, retainer, or cost center) this time should roll up into.
BillableToggle on to mark this entry as billable.
Billable %What percentage of the logged time is billed to the client. Defaults to 100 when Billable is on.
Custom AttributesAny worklog attributes configured by your admin (activity type, service category, etc.).
Duration formats — Collabase accepts any of these: 1h 30m, 1:30, 90 (treated as minutes), or 1.5h. All formats are converted to minutes internally.
Billable % over 100 — entering a value above 100 is intentional for round-up billing scenarios where clients are billed for more than the actual time logged. For example, a 45-minute call billed as a full hour would be 133%.

Using the timer

The built-in timer lets you track time as you work instead of entering it manually after the fact.

Start the timer

Click the Start Timer button at the top of the Times view. The button changes to a live counter showing elapsed time in HH:MM:SS format.

Work normally

The timer continues running in the background as you navigate around Collabase. The elapsed time is shown in the sidebar button so you always know it is active.

Stop the timer

Click the timer button again to stop it. The entry dialog opens automatically with the duration pre-filled based on the elapsed time.

Complete and save the entry

Fill in the remaining fields (task, project, account, etc.) and click Save. The entry is added to today’s calendar.
Only one timer can run at a time. Starting a new timer will prompt you to stop the current one first.

Editing and deleting entries

To modify or remove an existing entry:

Find the entry on the calendar

Switch to the day, week, or month view that shows the entry. Entries are displayed as coloured blocks labelled with the description or task name.

Open the entry dialog

Click the entry block to open the edit dialog with all fields populated.

Make your changes or delete

Edit any field and click Save, or click Delete at the bottom of the dialog to remove the entry permanently.
Entries in a SUBMITTED or APPROVED timesheet period are locked and cannot be edited or deleted. If you need to correct a submitted entry, ask your administrator or team lead to reject the period and return it to Draft status.

Workload progress

If your administrator has set up a Workload Plan for you or your team, a progress bar appears at the top of each day column in the calendar. The bar shows how many hours you have logged against your daily target.
  • Grey bar — below target for the day.
  • Green bar — target reached or exceeded.
Days that fall on a public holiday (from the linked Holiday Scheme) show no target and no progress bar.

Viewing billable status

Each calendar entry displays a small badge showing the billable percentage when Billable is on:
  • Green badge — entry is marked billable. The number shows the billable percentage (e.g. 100% or 75%).
  • No badge — entry is non-billable.
Switch to month view for a condensed summary that shows total hours logged per day without the per-entry detail.
