Suggestions let people with read-only access to a page contribute content changes without being able to edit the page directly. The page owner reviews each suggestion and decides whether to accept or reject it — keeping the author in full control while still allowing broad participation.
How it works
When a Space has Viewer Suggestions enabled, Viewers open a page and find themselves in Suggestion mode automatically instead of the standard read-only view. In this mode, anything they type or delete is captured as a tracked change — highlighted on the page, attributed to them, and queued for review. The original content remains untouched until an editor explicitly accepts the suggestion.
Page editors see all pending suggestions inline and get notified via the notification bell as soon as a suggestion is submitted.
Enabling Viewer Suggestions
Viewer Suggestions are a Space-level toggle. They are off by default and must be enabled by a Space Owner or Admin.
Open Space Settings
Navigate to your Space and click Settings in the sidebar.
Go to the General tab
The Viewer Suggestions toggle is in the General settings panel.
Enable the toggle
Turn on Viewer Suggestions. The change takes effect immediately — Viewers who already have the page open will enter Suggestion mode on their next navigation.
Enabling Viewer Suggestions applies to all pages in the Space. It is not configurable per page.
Making a suggestion (Viewer)
When you open a page in a Space with Viewer Suggestions enabled, the editor toolbar shows Suggestion as your active mode. You are in the editor, but your changes are tracked — not applied directly.
Inserting text
Type anywhere in the page. Your new text appears highlighted in green, indicating it is a pending insertion.
Deleting text
Select text and press Delete or Backspace. The text stays visible but appears highlighted in red with a strikethrough, indicating it is a pending deletion.
Replacing text
Select existing text and type new text. The original displays in red (deletion) and your new text displays in green (insertion) side by side.
After making a change, a suggestion card appears in the right sidebar. You can add a comment to explain your reasoning — this helps the page owner understand your intent when reviewing.
Write a brief comment on each suggestion explaining why you are proposing the change. This significantly speeds up the review process for the page owner.
Reviewing suggestions (Editor / Owner)
When someone submits a suggestion on a page you own or can edit, you receive an in-app notification — “[Name] suggested changes on ‘[Page title]’” — with a link directly to the page.
The suggestion panel
Open the page. All pending suggestions are visible in the right sidebar as suggestion cards. Each card shows:
- The contributor’s name and avatar
- When the suggestion was submitted
- A summary of the change — e.g. Add: “new paragraph text”, Delete: “old sentence”, or Replace: “old” with “new”
- Any comment left by the contributor
Hover over a suggestion card to reveal the Accept (✓) and Reject (✗) buttons.
Accepting a suggestion
Click ✓ Accept. The change is applied to the page immediately — inserted text becomes permanent, deleted text is removed. The contributor receives an in-app notification: “[Your name] accepted your suggestion on ‘[Page title]’”.
Rejecting a suggestion
Click ✗ Reject. The suggestion is discarded and the page remains unchanged. The contributor receives an in-app notification: “[Your name] rejected your suggestion on ‘[Page title]’”.
Replying to a suggestion
If you need clarification before deciding, type a reply in the suggestion card’s comment field. The contributor is notified of your reply and can respond — this creates a threaded discussion on the suggestion without accepting or rejecting it.
Suggestion modes explained
The editor toolbar includes a mode selector that controls your editing context. The available modes depend on your permissions on the page.
| Mode | Icon | Who sees it | What it does |
|---|
| Editing | ✏️ Pen | Editors only | Full edit access — changes are applied directly |
| Suggestion | ✏️ Pencil-line | Editors and Viewers (when enabled) | Changes are tracked and queued for review |
| Viewing | 👁 Eye | Everyone | Read-only — no editing or suggesting |
Viewers in a Space with Viewer Suggestions enabled see only Suggestion and Viewing modes. The Editing mode is hidden for them.
Editors can also switch into Suggestion mode themselves if they want their own changes to go through a review — for example, to propose a major structural edit to a shared document before committing it.
